General Rules

1. Fee Payment

  • Ph.D. fees are payable annually and are to be deposited session-wise, starting from 1st July 2023.
  • Any admission made between July 1 and June 30 will be treated as part of the same academic session.
  • The next annual fee will be due on or after 1st July of the subsequent academic session.

2. Pre-Submission Viva Voce

  • Pre-submission viva voce shall be conducted only on Saturdays after 2:00 PM.
  • The date of viva must be taken from the RDC office after submission of all required documents as available on website at least 15 days in advance.

3. Final Viva Voce

  • Final viva voce shall also be conducted only on Saturdays after 2:00 PM.
  • In exceptional cases, if the external examiner requests a change, a revised date/time may be allowed only upon receiving a written request from the examiner.
  • The viva date must be taken from the RDC office after submission of all required documents as available on website at least 15 days in advance.

4. Publication Requirement

  • All Ph.D. scholars receiving any fellowship (JRF/SRF/other) must publish one research paper per semester with:
    • Valid ISSN, DOI, Plagiarism report (as per UGC norms)
  • Publications without ISSN and DOI will not be considered.
  • Supervisors must provide the unavailability of journal in ranking for exemption.

5. Teaching Involvement

  • Supervisors may involve research scholars in teaching, practical assistance, and assignments in consultation with the Head of Department (HoD).
  • HoD will assig the equal work/duty in advance of all research scholars and duty chart countersigned by principal.
  • Supervisors cannot transfer or allot their regular teaching workload to scholars.
  • Replacement lectures arising due to faculty leave will be assigned only by the HoD and not by individual supervisors.
  • Supervisor ensure their scholar do the work as assigned by HoD. HoD will check that assigned task completed by fellow before signing the monthly bills
  • A record of teaching involvement must be maintained and signed by Supervisor and HoD.

6. Attendance Requirements

  • Ph.D. is a full-time academic and research programme.
  • Biometric attendance is mandatory for all research scholars (In-Out punching with a minimum 4 hour stay)
  • Scholars receiving JRF/SRF or any paid fellowship must ensure:
    • Minimum 8 biometric attendance days per month to process fellowship.
  • Scholars engaged in field work or external academic work (as approved in synopsis) must submit documented proof (entry slip, geotagged photo, entry register photo etc) countersigned by the Supervisor.
  • Supervisor must verify attendance before sending fellowship bills to the Research Committee.
  • The HoD must cross-check and certify attendance before forwarding fellowship bill.

7. Use of ONOS Digital Library

  • Research scholars must regularly access the ONOS portal for literature survey and reference work.
  • Supervisors must ensure scholar’s ONOS usage before approving fellowship bills.
  • The HoD must cross-check and certify use of ONOS (prior a month, example for November bill September use check) before forwarding fellowship bill ( Contact library head for uses).

8. Submission of Fellowship Bills

  • Fellowship bills must be submitted to the RDC by the 5th of every month (or next working day in case of holiday) at 2:00 PM to Dr. Meenakshi Lohani. If not submitted as per schedule, bill will be considered in next month.

9. Contingency Bills

  • Contingency claims must follow UGC / Funding Agency guidelines.
  • Submission Schedule:

  • Bills must be:
    • Original and printed
    • Paid via UPI/Online modes only
    • Accompanied with online payment proof

Ph.D. Fees: Fees are to be paid annually and session-wise after admission, starting from July 1, 2023. Admissions occurring at any point during the academic session (July 1 to June 30) are considered as part of that admission session, with the next year’s fees due in July of the following session.
Pre-Submission Viva Voce: The pre-submission viva voce will be conducted on Saturdays after 2:00 PM.
Final Viva Voce: The final viva voce is scheduled for Saturdays after 2:00 PM. If the external examiner has special circumstances, the date and time can be changed upon receiving a written request from the examiner.
Ph.D. Attendance: Ph.D. is a full-time program. It is the supervisor’s responsibility to record and verify the attendance of students. Minimum 8 Days/Month Biometric attendance is mandatory for all research scholars.
Publication Requirement: All Ph.D. students receiving any type of fellowship (JRF, SRF, etc.) must publish one paper per semester with an ISSN and DOI, as applicable.

Teaching Involvement: Supervisors should involve Ph.D. scholars in teaching and assignments, in consultation with the Head of the Department (HoD), and maintain records of their involvement. Supervisors cannot transfer or allot their regular teaching workload to scholars
